Title:  Programming Assistant (3-4 days a week, permanent)

Job summary:

To assists the programming team with all its administrative tasks to ensure the quality of programs and services is maintained.

Summary of most essential job functions:

  • Assist Programming team with all administrative tasks including correspondence with participants;
    • Manage all late cancellation fees and purchases
    • Order all programming supplies (including pamphlets, etc.)
    • Assist in preparing marketing material
    • Attend meetings
    • Create reports and minutes
  • Manage and maintain monthly program scheduling changes:
    • Validate calendar weekly
    • Make necessary adjustment
  • Create and maintain participant files:
    • Prepare registration packages and signature forms
    • Create and maintain participant files
  • Supervise and assist volunteer reception support staff
    • Maintain safe and clean reception area and programming rooms (and needs there-of) by complying with procedures, rules, and regulations
    • Maintain and monitor library and library database
    • Answer and direct phone calls
  • Assist in welcoming visitors by greeting them, in person or on the telephone; answering or referring inquiries
  • Prepare the building to receive guests
  • Monitor, mentor, task and schedule reception support volunteers and/or summer students
  • Support the Mission, Vision and core values of the organization
